OFFICE MANAGER JOB DESCRIPTION
OVERVIEW:
Our mid-size Architecture Firm is looking for a talented Office Manager to join our team. The role will be primarily responsible for everyday tasks to maintain an architecture firm. The ideal candidate is well articulated and not afraid of a challenge. RESONSIBILITIES:
- Answer telephones, take message, route calls as directed
- Greet and welcome clients and visitors and announce to appropriate staff members
- Administrative assistance:
o Prepare transmittals
o Prepare field reports and pay application responses
o Transcribe documents as needed
o Advise partners of seminars & conventions. Schedule as directed by partners
o Manage/advise partners of annual CEU status, CEU credit opportunities and schedule accordingly
o Prepare travel arrangements as necessary
o Coordinate & maintain partner and corporate calendars
o Transcribe meeting minutes
o Transcribe specifications
o Human Resources management
o Coordinate required company insurance policies, quotes, etc.
o Manage/coordinate extra-curricular office events and activities (fun days, community involvement, lunch & learns, etc.)
o Manage/update/maintain Studio Handbook, Employee Handbook & Client Handbook
o Manage office supplies
o Manage office cleaning & maintenance services.
o Manage business systems:
Copier
Telephones
o Coordinate with marketing agencies as necessary
o Handle postage & shipping as required
o Start and unload dishwasher daily
o Run errands as needed
o Manage coffee & refreshments
o Accept deliveries and sort incoming and outgoing mail
o Miscellaneous clerical duties as requested Maintain all company files including in both electronic and hard copy filing systems:
Vendor files
Employee HR files
Project/Client files
Prospective client files
Contact files & directories
Project photo files
EDUCATION & QUALIFICATIONS:
- Bachelor’s degree or equivalent experience preferred.
- Minimum of 3+ years of professional work experience.
- Strong oral and written skills are required.
- Must have a high level of focus and attention to detail and possess strong organizational and multitasking skills.
- Highly proficient in Word, Excel, and Outlook.
- Knowledge of Adobe Creative Suite (Photoshop, Illustrator) and social media is a plus.
- Must have a great personality, professional appearance and a positive attitude
Job Type: Full-time
Pay: $55,000.00 - $75,000.00 per year

Experience:
